As the Office Coordinator joining our team in Kirkland, WA, you can expect to perform a variety of reception, facilities and administrative tasks, under the general direction of the Human Resources Generalist. The ideal candidate would be someone who is reliable and proactive, has a dedicated work ethic, committed to providing superior service, and welcomes new opportunities.
Manage the front desk area
Answer incoming calls and provide appropriate follow-up
Greet and welcome guests and clients
Maintain shared calendar and support conference room scheduling
Maintain the organization, presentation and cleanliness of the office, kitchen, conference rooms, and storage areas
Coordinate with property management and third-party vendors as needed for facilities and maintenance requests
Coordinate space planning, including internal moves, and preparation of workstations for new hires
Track and distribute parking passes and building key cards
Distribute facilities related email communications, and/or staff newsletter
Distribute all incoming mail and prepares outgoing mail; prepares large staff mailings
Track and order all office and kitchen supplies
Track and reconcile company credit card statements or invoices
Coordinate company lunch meetings
Provide support in the preparation and coordination of morale events; track events budget
Support the onboarding process
Coordinate travel arrangements
Provide administrative support and perform other duties as assigned
Skills and Qualifications
2+ years of relevant experience required
Dependable and reliable team member
Excellent customer service and communication skills
Excellent judgment, integrity and discretion with confidential information
Proactive approach to tasks and proven ability to multi-task and prioritize
Outstanding interpersonal skills, friendly demeanor and good sense of humor required
Demonstrated attention to detail and excellent organizational skills
Proficient with Microsoft Word, Outlook, and Excel
